Setting up automatic reminders

Set up automatic reminders under Settings → Reminders for upcoming bookings, unpaid invoices and unanswered documents. CoreHue stops sending the relevant reminders once the client pays, signs or submits their answers.

New accounts start with a sensible set of reminders already on. If yours aren't set up, a Turn on recommended reminders card sits at the top of the page.

  1. Go to Settings → Reminders.
  2. Choose Turn on reminders on the card.

That switches on reminders 3 days before and on the day of a booking; 7 days before an invoice is due, on the due date, and 3 and 7 days after; and 3 and 7 days after a document is sent, plus 1 day before its deadline. You can adjust any of it afterwards, or close the card with the X if you'd rather set your own.

Choosing your own timings​

Each group has a switch, and under it the timings you can tick. Changes wait in a save bar until you save.

Booking reminders​

"Send automatic reminders before a confirmed booking." Pick from 7 days before, 3 days before, 1 day before and Day of booking. They're the easiest way to cut down on no-shows and late arrivals. See Booking confirmation and reminder emails.

Invoice reminders​

"Send reminders while an invoice has an outstanding balance." Pick from 7 days before due, On the due date, 3 days after due, 7 days after due and 14 days after due. On a payment schedule, reminders follow the payment that's currently due. See Automatic invoice reminders.

Document reminders​

"Send reminders after documents are sent and before they expire or close." Proposals, Contracts and Questionnaires each have their own switch and two columns:

  • After sending: 3, 7, 14, 21 or 30 days
  • Before expiry (proposals and contracts) or Before close date (questionnaires): 7, 3 or 1 day

The second column only works when the document has a date to count back from, which CoreHue notes on each section. See Reminding clients about unanswered documents.

They stop on their own​

A reminder stops as soon as the thing it's chasing is done. Paid invoices, signed contracts, answered questionnaires and cancelled bookings all drop out. Nobody who has already acted gets nagged.

No date, no reminder​

Invoice reminders need a due date, and "before" document reminders need an expiry or close date. An invoice without a due date is never overdue, so it's never chased. That's the most common reason reminders seem not to work.

Pausing or sending one yourself​

On an individual booking, invoice, proposal, contract or questionnaire, you can Pause its reminders (and Resume them later) if you've already spoken to the client another way. Send reminder sends one straight away, for when a situation needs a nudge now.

On the Free plan​

The Reminders tab is hidden on Free and nothing is sent, though your settings are kept. Choosing Send reminder opens Send reminders, which explains the upgrade. Upgrade and your reminders pick up where they left off.

Frequently asked questions​

Will clients get reminded after they've paid?​

No. CoreHue invoice reminders stop the moment the balance is paid, and document reminders stop once the client signs, accepts or submits.

Why didn't my invoice reminder go out?​

Check that the invoice has a due date, that you're on Plus or Pro, that Invoice reminders is on with at least one timing ticked, and that reminders aren't paused on that invoice.

What's the difference between reminders and notifications?​

Reminders are emails CoreHue sends to your clients, set under Settings → Reminders. Notifications go to you, set under Settings → Notifications. See Choosing which notifications you get.
