Deleting a contact

Delete a contact when you don't want them in CoreHue at all any more. Work you finished together stays in your records, anything still open is cancelled, and your client isn't emailed about any of it.

You can't undo a deletion

There's no restore and no bin for contacts. If the same person gets in touch again later, they come back as a brand-new contact with none of their old history attached.

Deleting someone​

  1. Open the contact from Contacts.
  2. Open the three-dot More actions menu and choose Delete contact.
  3. Read the Delete contact? window. It lists exactly what will be deleted, cancelled and kept.
  4. Click Delete contact.

Most deletions finish straight away. You'll see "Contact deleted" and land back on your contacts list. Someone with a lot of history can take longer, which is covered further down. You delete contacts one at a time, from their own page.

What stays​

  • Confirmed bookings that have already happened
  • Accepted proposals, completed questionnaires and fully signed contracts
  • Paid invoices, every payment you received, receipts and refunds
  • Your conversations in Messages
  • Galleries and their photos and videos

These stay in their usual lists under Bookings, Invoices, Contracts and so on. With no contact to link back to, each one shows the name and details it already had. Payments still count in your finance report, and invoice and receipt links you've sent keep working.

What's cancelled​

  • Bookings that are pending or still to come. Confirmed sessions that already happened are kept.
  • Open inquiries. They show as Cancelled.
  • Contracts, proposals and questionnaires that aren't finished. That includes a contract your client signed but you hadn't countersigned yet. It's cancelled, and their signature stays on record.
  • Invoices with money still owing. They stop collecting and stop sending reminders. Anything already paid on them is kept, and nothing is refunded.
  • Scheduled emails and reminders, including messages still waiting to go out.

A cancelled document's link still opens for your client, but they can no longer sign, answer, accept or pay through it.

What's deleted​

  • Their contact details and your private contact notes.
  • Draft proposals, contracts, questionnaires and invoices you hadn't sent yet.
  • The link between them and any galleries. The galleries themselves stay.

When CoreHue asks you to wait​

Before anything changes, CoreHue checks that it's safe to start. If it isn't, you'll see one of these and nothing is touched:

When a deletion takes a while​

Contacts with a lot of history are deleted in the background. You'll see "Contact deletion started" instead, and you're free to carry on with other work.

  • On your contacts list, their row shows "Deleting…" under the name until it's done, then disappears by itself.
  • On their page, a Deleting contact notice reads "Deletion is in progress. You can leave this page." You can't edit them, message them or start new work for them.
  • Their email stays taken until the deletion finishes, so you can't add a new contact with it yet. If they fill in your contact form or book with that email in the meantime, they're asked to try again shortly.

If something gets in the way, the row says "Deletion needs attention" and the notice on their page explains what happened. CoreHue keeps retrying by itself. To nudge it along, open the contact, choose Continue deletion from More actions and confirm. It picks up where it left off rather than starting again.

Frequently asked questions​

Does my client get an email when I delete them?​

No. CoreHue doesn't tell them, and nothing cancelled along the way sends them a cancellation email either. Emails they already have stay in their inbox.

Will deleting a contact refund what they paid?​

No. Payments are kept exactly as they are. If you owe them money back, you can still refund a payment on a cancelled invoice. See Refunding a payment.

What happens if they get in touch again?​

They become a new contact. Once the deletion has finished, a new inquiry, booking or contact form submission from them starts a fresh record, and their old bookings, invoices and messages don't reconnect to it. See How contacts work.

Can I hide a contact without deleting them?​

No. Contacts are either in your list or deleted. To focus on the people you're working with now, use the Leads and Clients filter on your contacts list. See Leads vs clients.
