How contacts work
A contact is anyone you work with, or might. Everything that happens with them collects on their contact page: bookings, galleries, proposals, contracts, questionnaires, invoices, what they've paid you, and every message between you. Inquiries show up on their activity timeline. So when you need "that email about the album", it's on their page instead of somewhere in your inbox.
Where contacts come from
Most contacts add themselves. The Source on a contact's Overview tab tells you how each one arrived:
| Source | How it happened |
|---|---|
| Booking page | They booked or sent an inquiry through your booking page |
| Contact form | They filled in one of your contact forms |
| Manual | You added them, or created them on the spot with Add contact while making a booking, proposal, questionnaire or message |
Once your booking page and a contact form are live, you'll rarely need to add anyone by hand. When you do, see Adding a contact.
The contacts list
Find it under Contacts → Contacts in the sidebar. The list shows each contact's Name, Email, Type, Business and when they were Added, twenty to a page.
- Sort by Name or Added by clicking the column header. Click again to reverse it.
- Search by name or email address. It doesn't look at the business name, so search for the person.
- Filter by type: All contacts, Leads or Clients.
- Filter by status: Active, Archived or All contacts.
On a phone, the two filters fold into a single panel.
A row that says "Also used by another contact" under the email means two contacts share that address. That's usually a duplicate worth tidying. See Dealing with duplicate contacts.
Leads and clients
Every contact is either a Lead (someone who hasn't committed yet) or a Client (someone who has). CoreHue promotes a lead to a client by itself the first time they book, pay or sign a contract. See Leads vs clients.
Start your work from the contact
Rather than creating a document and then searching for the person, open their page and start there. Send message is the main button, and the three-dot More actions menu has Create proposal, Create booking, Create invoice, Create contract, Create questionnaire and Create gallery. Each one opens with their details already filled in.
It's quicker, and it's the best way to avoid creating the same person twice. See Everything on a contact's page.
Contact forms
Under Contacts you'll also find Contact forms: shareable forms you can put in your Instagram bio or on your website. Every submission creates a contact and opens a conversation you can reply to. Contact forms are included on every plan. See Creating a contact form.
Frequently asked questions
Can I import my contacts from another app?
Not at the moment. There's no contact import, so contacts are added one at a time or arrive through your booking page and contact forms. Many photographers start fresh and add past clients as they come back. See Bringing past clients and galleries over.
Can I delete a contact?
No. Contacts are connected to invoices, payments and signed contracts, so the record stays. Archive anyone you don't need in your list. See Archiving and restoring contacts.
Can I tag or group contacts?
No. The Type filter (leads or clients) and the Status filter (active or archived) are the ways to slice your list.
Do my clients see their contact page?
No. Contact pages, including notes, are only for you. Your clients see the documents, galleries and booking pages you send them.
