Everything on a contact's page
Open a contact to see their bookings, linked galleries, documents, payments and messages. The Overview tab shows a summary and your private notes.
The figures at the top
| Card | What it shows |
|---|---|
| Received less refunds | What they've paid you, minus anything refunded |
| Balance due | What they still owe on open invoices |
| Bookings | How many bookings they've had |
| Last activity | When something last happened with them |
If they've paid or owe you in more than one currency, Received less refunds and Balance due each get a small currency menu, so you see one currency at a time.
The nine tabs
Overview
- Contact: email, phone, company and address, with copy buttons on the email and phone.
- Details: Contact type, Status, Source, Added and Last updated, plus First booking once they've booked.
- Received less refunds chart: payments received per month, with refunds taken off the month they happened. Change the window to Last 6 months, Last 12 months, This year or Last year.
- Contact notes: your private notes (more below).
Activity
A timeline of everything that's happened with this person. Choose Load more to go further back.
Messages
"Every conversation you have had with this contact." Unread conversations have a dot, and your own last message starts with "You:". Click one to open it in Messages. Replies you send from your own email app show up here too.
Proposals, Bookings, Invoices, Contracts and Questionnaires
One tab each, listing everything of that kind for this person with its status, dates and amount. Each tab shows a count, so you can see where things stand before you open it.
Galleries
Every gallery linked to this contact. If there are none yet, click Create gallery to make one already linked to them, or link an existing gallery from that gallery's settings. See Linking a gallery to your contacts.
Private contact notes
Contact notes sit at the bottom of the Overview tab and are only visible to you. Your client never sees them, and they're never included in anything you send.
- Click Add note.
- Write your note (up to 5,000 characters).
- Click Add note to save it.
Each note has edit and delete buttons, and a note you've changed shows "Edited". Use them for the things that make you better at your job: the venue coordinator is tricky, they hate posed shots, grandma should be in more photos than she'll ask for.
Starting work from a contact
The top of the page has everything you can do for this person:
- Send message, the main button
- Edit, to change their details. See Editing a contact's details
- More actions, with Create proposal, Create booking, Create invoice, Create contract, Create questionnaire, Create gallery and Archive contact
Anything you create here opens with their details already filled in. Create gallery links the new gallery to them, so it shows on their Galleries tab and they're offered first when you share it. See Creating a gallery.
If the contact has no email, Send message asks you to add one first.
On Free you can read every conversation, but Send message opens an upgrade prompt. Sending and replying need Plus or Pro. See Messages on the Free plan.
Archived contacts
An archived contact's page opens with an Archived contact notice: "Hidden from active lists. The history stays." Everything is still readable, and Restore contact in that notice brings them back. See Archiving and restoring contacts.
Frequently asked questions
Why does "Received less refunds" look lower than what I invoiced?
Received less refunds counts money actually received from the contact, minus refunds. Unpaid invoices show under Balance due instead.
Can my client see my contact notes?
No. Notes are only for you and never appear in emails, documents or galleries.
Why isn't a gallery showing on the Galleries tab?
The tab only shows galleries linked to this contact. Open the gallery, go to Settings → Details → Contacts, and add them.
Where are the messages from before I used CoreHue?
The Messages tab on a contact's page only shows conversations that happened in CoreHue, including your client's replies to emails you sent from CoreHue. Emails from before you used CoreHue stay in your own inbox.
