Linking a gallery to your contacts

Linking a gallery to the people it's for keeps everything about a client in one place. Their gallery shows on their contact page next to their bookings, invoices and contracts, and they're suggested first whenever you share it.

What linking does​

  • Suggests them when you share. Linked contacts appear first, under Gallery contacts, when you click into the To field of the share email. The field itself starts empty, so you still choose who gets each email.
  • Shows the gallery on their contact page. It appears on the contact's Galleries tab.

What it doesn't do: linking doesn't send anything, doesn't give the contact access, and doesn't skip any password you've set. Your client opens the gallery with the link and any passwords you share, like everyone else.

  1. Open the gallery and go to Settings → Details.
  2. Under Contacts, choose Add a contact.
  3. Search for the contact and pick them from the list.
  4. To add more, choose Add another contact.
  5. Choose Save in the bar at the bottom of the screen.

A gallery can have up to 10 contacts. Only contacts with an email address appear in the list, since the main reason to link someone is to send them the gallery. Archived contacts don't appear either.

Starting from the contact saves a step:

  1. Open the contact from Contacts.
  2. Choose More actions, then Create gallery. If they have no galleries yet, you can also choose Create gallery on their Galleries tab.

The new gallery is linked to that contact from the start. See Creating a gallery.

To create or link a gallery for an archived contact, restore the contact first. See Archiving and restoring contacts.

Remove a linked contact​

  1. In Settings → Details, hover over the contact and open their menu.
  2. Choose Remove contact and confirm.
  3. Save your changes.

They stop being suggested when you share this gallery, and it leaves their contact page. Emails you've already sent aren't affected, and the contact record stays as it is. View contact in the same menu opens their contact page.

On the contact's page​

The Galleries tab on a contact's page shows every gallery linked to them as a card. If there aren't any yet, you'll see No galleries yet with a button to create one. See Everything on a contact's page.

Ideas for linking​

  • Couples: link both partners, so either can be picked when you share.
  • Families: link the parent who booked, and anyone else who should get the gallery.
  • Brand and commercial work: link your main contact and their marketing lead.

Sharing with someone who isn't linked​

You can always type any email address into the To field when you share, linked or not. Linking just saves you looking them up. See Sharing a gallery by email.

Frequently asked questions​

No. Linking a contact to a gallery doesn't send them anything. Nothing goes out until you share the gallery yourself. Linking only makes them easy to pick and adds the gallery to their contact page.

No. Linking a contact doesn't change who can open the gallery. Include the password when you share, using the checkboxes under Include in email.

Why can't I find a contact when linking?​

The contact list in gallery settings only shows active contacts with an email address. Add an email to the contact, or restore them if they're archived.
