Reviewing your client's favorites
Once your client starts picking favorites, everything lands in one place: the gallery's Activity tab. From there you can read their notes, copy the file names into your editing software and move straight on to the work.
Find your client's collections
- Open the gallery and choose the Activity tab.
- Click Collections.
Every collection in the gallery is listed, whether your client made it or you created it as a selection request. Each row shows the name, the email it belongs to and how many photos are in it, against the limit if there is one.
- A collection your client built gets a Submitted tag once they send it.
- A selection request shows when you last sent it, like "Sent 2 days ago".
Open a collection's details
Click a row to open Collection Details. You'll see:
- The name, email, photo count, status (Active or Submitted) and dates.
- Your brief under Client instructions, for selection requests.
- The message your client sent with the collection.
- Every photo with its chapter, when it was added, and any note your client left on it.
Sort the photos by Name A–Z, Name Z–A, Newest first or Oldest first. Download Collection and Export sit at the top.
Copy file names into your editing software
This is the fastest way to find your client's picks in Lightroom, Capture One or whatever you edit in.
- Open the collection's ⋯ menu and choose Copy file names.
- Pick a Separator: Comma, Space, New line or Custom.
- Under File extensions, choose Keep, Remove or Replace (with jpg, jpeg, png, dng, tiff or your own). Replace is handy when you delivered JPEGs but edit from RAW files with the same names.
- Check the preview and click Copy.
Paste the list into your editing software's search or filter. Choose the separator that your software expects.
Everything else you can do with a collection
The ⋯ menu on each collection:
| Action | What it does |
|---|---|
| Send preset link / Share preset link | Re-invite your client to a selection request, by email or with a personal link |
| View collection | See the collection the way your client sees it |
| Edit selection request | Change a request's name, limit or brief |
| Download collection | Download the photos as a ZIP, in the size you choose |
| Export CSV | A spreadsheet listing each photo's file name, note, chapter and when it was added |
| Copy to new chapter | Create a chapter in this gallery with just these photos |
| Copy to new gallery | Create a new gallery with just these photos |
| Copy file names | Copy the file names for your editing software |
| Send as download | Email a 48-hour ZIP link to anyone, such as an album designer. See Sending favorites as a download |
| Delete collection | Remove the collection. The photos themselves stay in the gallery |
Some actions only appear when they make sense: the preset and edit options are for selection requests, and download, export, copy file names and send as download need at least one photo in the collection.
Copying to a new chapter or gallery creates real photos, so they count toward your storage like any other copy. See How storage works for photos and videos.
Get notified about favorites
Under Settings → Notifications → Galleries:
- Collection submitted tells you when your client sends a collection. It always shows in the app and emails you by default.
- New collections tells you when collections are created in a gallery, grouped so you're not flooded.
See Choosing which notifications you get.
Frequently asked questions
Can I see a collection before my client sends it?
Yes. Collections appear in Activity → Collections as soon as they're started, marked Active until they're sent.
My client sent their collection but wants to change it. What do I do?
If Lock after submission is off, your client can change the collection and click Send update. If it's on, turn it off under Settings → Collections and save, and their collection opens up again. See Collection settings for client favorites.
Why is there a collection from an email I don't recognize?
A collection from an unfamiliar email usually belongs to a guest. Anyone who can open the gallery can star photos, so guests your client shared it with can make collections too. Each one is listed under the email its owner gave.
Does deleting a collection delete the photos?
No. Deleting a collection only removes the list. Every photo stays in the gallery.
