Rescheduling a booking

Plans change. Weather, venues and family emergencies all move sessions around. Rescheduling in CoreHue updates the booking, your calendar and any meeting link in one go, and you decide whether your client gets an email about it.

Moving a confirmed booking​

  1. Open the booking.
  2. On the summary card, click Reschedule booking.
  3. Set the new Date, an End date (optional) for multi-day work, and the Start and End times. Update Location if that's changing too.
  4. Turn on Notify client if you want them to get the new schedule by email.
  5. Click Reschedule booking to save.
Your client isn't told unless you say so

Notify client is off by default. That's right when you're fixing your own typo, but if the session really moved, turn it on. Otherwise your client still has the old date in their diary.

Your Google Calendar event and any Google Meet or Zoom link move with the booking, and the booking moves to its new date on your CoreHue calendar. See Connecting Google Calendar and Adding Zoom meetings to bookings.

If the new time clashes​

If the new time overlaps another booking, CoreHue shows This time overlaps another booking. You can click Go back and pick another time, or write a Reason for overlap and click Save anyway. The reason is saved with the change, so you'll know later why two sessions share a slot.

Bookings that are still holding a slot​

A pending booking that's reserving time, usually while waiting for payment, shows Edit reservation instead. If no date has been chosen yet, the button reads Set schedule. It's the same dialog with the same date, time and location fields, but without Notify client, and it saves with Save reservation.

Fixing the record on a past booking​

Once a confirmed booking's date has passed, or the booking can no longer be rescheduled (for example after you've completed it), the three-dot menu adds Fix schedule record. Use it when the session didn't actually move, but the saved date, time or location is wrong, like a typo on last month's wedding.

  1. Open the booking and choose Fix schedule record from the three-dot menu.
  2. Correct the date, time or location.
  3. Write a Reason for correction.
  4. Click Save correction.

It deliberately tells nobody: no email to your client, and no changes to calendars, meeting links or reminders. Use Reschedule booking when the session really did move.

What doesn't change by itself​

Moving the date doesn't touch the paperwork, so check these:

  • The contract. It was signed with the original date in it. For a small move, a note on the contact's page is usually enough. For a big change, send a new contract. See Sending a contract for signature.
  • The invoice. Amounts and due dates stay as they were. If the balance was due before the old date, you may want to adjust it.
  • Questionnaires. Answers already in stay as they are. Check anything you scheduled around the old date.

If a wedding moves a whole year, your prices and availability have probably changed. It's often cleaner to cancel and rebook than to stretch one booking across seasons.

Frequently asked questions​

Can my client reschedule themselves?​

Not at the moment. Clients can't move or cancel a booking from their booking page, so they'll get in touch with you and you make the change here.

Why can't I see Reschedule booking?​

Reschedule booking only appears on confirmed bookings that haven't been completed or cancelled. A pending booking that's holding time shows Edit reservation or Set schedule instead.

Does rescheduling send a new confirmation email?​

Only if you turn on Notify client in the dialog. You can check what was sent afterwards under Email history in the booking's three-dot menu.

Does moving the date change my reminders?​

Reminders follow the booking's date, so they work from the new schedule after you reschedule. Fix schedule record is the exception: it leaves reminders alone.
