Adding Zoom meetings to bookings

Connect Zoom and every virtual booking gets its own meeting link, created as the booking confirms. It suits the calls around a shoot: wedding consultations, brand briefings, planning calls and viewing sessions.

Connecting Zoom​

  1. Go to Bookings → Settings → Integrations.
  2. On the Zoom card, "Create Zoom meeting links for virtual bookings.", choose Connect Zoom.
  3. Sign in to Zoom and authorize CoreHue.

Once connected, the card shows Connected and the Zoom account email it's using. Meetings are created in that account, so they appear in your Zoom app like any other meeting.

Using Zoom on a service​

  1. Open a direct booking service and go to Availability & location.
  2. Set Location type to Virtual, or In person or virtual if clients can choose.
  3. Under Virtual setup, choose Zoom, "Create a Zoom link automatically."
  4. Choose Save.

Every booking for that service now gets its own Zoom meeting. Until Zoom is connected, the option is greyed out and reads "Connect Zoom first."

Inquiry and mini session services don't have Virtual setup, so Zoom links only apply to direct booking. See In-person and online sessions.

What your client sees​

Once the booking is confirmed, a Join Zoom link appears on your client's booking page, where the address would be for an in-person session. On Plus and Pro, booking reminder emails include a Join meeting link too.

The confirmation email links to their booking page rather than carrying the meeting link itself, because the meeting may still be being created when that email goes out. Let clients know the link lives on their booking page.

Good to know​

Links are created when the booking confirms. A booking still waiting on payment or a signature doesn't have a link yet. That way no link is created for a booking that ends up expiring.

Each booking gets its own room. Unlike a single personal meeting link, a call that runs over won't have the next client walking in on it.

Disconnecting stops new links. Choose Disconnect on the card. It takes effect straight away. Meetings already created stay in your Zoom account.

If the card shows Reconnect or Setup needed, choose Reconnect Zoom or Complete Zoom setup and sign in again.

Zoom or Google Meet?​

Both do the same job. Use whichever you and your clients already know. Google Meet needs Google Calendar connected, and Zoom needs a Zoom account. If you have both, you can choose per service. See Connecting Google Calendar.

Frequently asked questions​

Check the booking is confirmed rather than pending, that the service is set to Virtual with Zoom chosen, and that the Zoom card still shows Connected. Then point your client to their booking page, where the link lives.

Can I use my personal meeting room instead?​

Yes. Choose Custom link under Virtual setup and paste your link. Every client then shares the same room, so leave a gap between calls.

Do I need a paid Zoom account?​

CoreHue works with the Zoom account you connect. Any limits on meeting length come from your own Zoom plan.

What happens to the Zoom meeting if I reschedule?​

CoreHue moves the Zoom meeting to the new time, and your client keeps using the link on their booking page. Cancelling a booking removes its meeting.
