Saving reusable items

An item is something you charge for, saved once so you never retype it: a session, an album, extra hours, travel. Pick it on an invoice, proposal or booking and the name, description and price fill in for you.

Items live under Templates → Items, the first tab of your templates library.

Adding an item​

  1. Go to Templates → Items and choose Add item.
  2. Give it a Name your client will understand on an invoice: "Wedding coverage, 8 hours" or "Fine art album, 30 pages", not "WED-8".
  3. Add a Description if it helps. It's plain text, and line breaks are kept, so a simple list of what's included works well.
  4. Set a Price, or leave it empty for things you quote case by case.
  5. Choose Add item.

The first time you add an item, CoreHue asks for your default currency, since a price needs one.

You can also create items as you work. On an invoice, choose Add item at the bottom of the item picker and the new item lands on the line in one step. Your catalog builds itself.

Once an item is on a document, everything is yours to change for that document. Editing a line never changes the saved item.

Changing and deleting items​

Select a row, or choose Edit from its ⋯ menu, to open Edit item. Changes apply to documents you create from now on. Invoices already created keep the price they had, so raising your rates never disturbs an invoice a client is holding.

Delete in the ⋯ menu removes an item for good. As CoreHue says before you confirm, "Invoices that already used this item keep their line items unchanged."

Prices and currency​

An item's price is a plain number. The list shows it in your default currency. If you use it on a document in another currency, the same number is used as typed, with no conversion, so check the figure. See Invoicing in more than one currency.

What's worth saving​

Anything you've typed twice. Your main services, of course, but the real wins are the extras you charge now and then: travel, rush editing, an extra hour, a second shooter. Those are the ones that get undercharged, because working out the number each time is a nuisance.

Items vs add-ons​

Add-ons on a booking service are separate. Those are extras your client ticks while booking, set up on the service itself. See Adding add-ons to a service.

Frequently asked questions​

No. Saved item descriptions are plain text, with line breaks kept.

Does changing an item's price update invoices I've already sent?​

No. Invoices keep the item price they were created with. Only new invoices, proposals and bookings pick up the change.

Do I have to set a price?​

No. A saved item's Price is optional, so leave it empty for anything you quote per job. The list shows no price, and you set the amount on each document.

Where did Items go? I used to find them under Payments.​

Saved items now live under Templates → Items, alongside your contract, questionnaire and email templates. Old bookmarks to the Payments version take you there automatically.
