Adding records to a project

You can add work to a project from the record itself or from inside the project, and anything you start inside a project lands there automatically. It's also where paperwork you create after a booking belongs, since a booking only keeps the documents it was created with. Bookings, proposals, invoices, contracts, questionnaires, message threads and galleries can all join.

From the record

  1. Open the booking, proposal, invoice, contract or questionnaire.
  2. Choose More actions (three dots).
  3. Choose Add to project.
  4. Search for the project and pick it.
  5. Choose Add to project.

A short note pops up to confirm what was added. Adding a booking or proposal brings its paperwork too. See What comes along with a booking or proposal.

For a gallery, use the three-dot menu at the top of the gallery editor. For a message thread, use the three-dot menu at the top of the conversation.

Only active projects show in the list. To add work to an archived project, restore it first.

From inside the project

  1. Open the project and choose the Bookings, Documents, Messages or Galleries tab.
  2. Choose Add existing.
  3. On Documents, pick Proposals, Invoices, Contracts or Questionnaires across the top.
  4. Search, then choose Add beside each one you want.
  5. Choose Done.

Records already in this project show Added. Records in another project show that project's name instead of Add.

Starting something new in the project

The project's More actions menu starts new work already filed in the project and addressed to the primary contact:

  • Send message
  • Create proposal, Create booking, Create invoice, Create contract or Create questionnaire
  • Create gallery

Each tab also has its own button, like New booking on Bookings or New on Documents. These fill in the project, and you pick the contact. Sending messages from CoreHue needs Plus or Pro. See Messages on the Free plan.

The Project field on new records

The forms for a new booking, proposal, invoice, contract and questionnaire have a Project field. Choose a project, choose No project to leave it out, or choose New project to make one on the spot.

This is how you keep later paperwork with a job. An invoice, contract or questionnaire you create after the booking belongs to your client, not the booking, so pick the job's project here and it sits beside the booking in the project's Documents tab. On a new contract, choosing a booking in the Booking field fills this in from the booking's project, and you can change it.

Seeing which project a record is in

Once a booking or document is in a project, the project's name shows near the top of its page, under the action buttons. Choose it to open the project. In Messages it sits beside the contact's name, and a gallery's three-dot menu offers to open it.

Removing a record

  1. Open the record and choose More actions.
  2. Choose Remove from project.
  3. Choose Remove from project again to confirm.

You can also use the three-dot menu on a row or gallery in the project's tabs. Removing never deletes anything: the record carries on as before, just outside the project.

A record sits in one project at a time, so to move it, remove it and then add it to the other project.

Frequently asked questions

Can I add an inquiry to a project?

No. Inquiries stay outside projects, though you can add a questionnaire you sent from an inquiry on its own. It stays with the inquiry after you book it, so add it yourself if you want it in the job's project.

Why can't I add an invoice that's already somewhere else?

It's in another project. Open the invoice, remove it from that project, then add it to this one.

Does adding a record to a project send anything to my client?

No. Adding and removing records is private. Your client sees the same documents and galleries as before.

Can I add a contact's other work all at once?

No. Add each booking or proposal, and its paperwork comes with it. Adding a person to the project doesn't bring their other bookings in.
