Adding people to a project

Most jobs involve more than one person. A wedding has a couple and often a planner. A brand shoot has a marketing manager, a producer and someone in accounts. The People list on a project keeps them all in one place.

Who shows up under People

Open the project and look at People on the Overview tab.

  • The primary contact comes first. That's the person you chose when you created the project.
  • Anyone on the project's records appears by themselves. If the balance invoice goes to the planner, or a thread is with the producer, they're on the list.
  • People you've added by hand appear too.

Each person links to their contact page, so their phone number and history are one click away.

Adding someone

  1. On the project's Overview tab, choose Add in People.
  2. Search for the Contact, or choose Add contact to create them.
  3. Choose Add.

Adding a person doesn't bring in their other bookings or documents, and it doesn't send them anything. It's a note for you. On an archived project, restore it first.

Removing someone

  1. Hover over the person in People.
  2. Choose the × beside their name.
  3. Choose Remove.

The × only shows for people you added by hand. Someone who came from a record stays as long as that record is in the project, and leaves on their own once the last of their records is removed.

The primary contact

The primary contact is set when you create the project and can't be changed or removed. They stay on the project even if none of its records are addressed to them any more.

Being primary doesn't change who receives your documents or who signs a contract. Those are set on each document as usual. It does decide who's filled in when you start a message, booking or document from the project's More actions menu.

If you delete the primary contact, the project is archived and can't be restored. See Archiving, restoring or deleting a project.

Frequently asked questions

Can I change who the primary contact is?

No. Create a new project with the right person as primary contact, then move the records over by removing them from the old project and adding them to the new one.

Can the same person be on several projects?

Yes. A repeat client, or a planner you work with often, can be on as many projects as you like.

Can I mark someone as the planner or the billing contact?

No. People on a project don't have roles. If it helps, write it in the project's Notes.

Do people on a project see it?

No. Projects are private to you. Each person only sees the documents, messages and galleries you send them.
