Everything on a project page
A project page answers the questions you'd otherwise piece together from five places: when's the next shoot, what's still owed, what's left to do and who's involved. Open any project from Projects → All projects.
The top of the page
- The stage shows beside the project name. Change it from the stage list near the top, and a note with Undo confirms the move. Choose New stage at the bottom of that list to add one on the spot.
- The primary contact links to their contact page.
- Edit changes the name, project type and description.
- More actions (three dots) starts new work in the project, and holds Archive and Delete. See Adding records to a project.
The money cards
Four cards add up the invoices in the project:
| Card | What it shows |
|---|---|
| Invoiced | The total of invoices you've sent |
| Paid | What your client has paid on them |
| Outstanding | What's still owed on open invoices |
| Overdue | What's past its due date, with how many invoices |
Drafts don't count, cancelled invoices aren't counted as invoiced or owed, and proposal prices and booking amounts only count once they're invoiced. If you invoice in more than one currency, each card shows each currency separately.
The Overview tab
- Next booking is the soonest upcoming date across the project's bookings, with a link to it.
- Details shows the stage, project type, description and the date you created the project.
- Tasks lists up to five open tasks, soonest due first, with View all to see the rest.
- People lists everyone on the job. See Adding people to a project.
- Notes is a private notepad for this job. Type, then choose Save.
Notes are good for the things that don't fit anywhere else: the parking situation at the venue, the aunt who wants a print, the art director's preference for natural light.
The other tabs
Each tab shows a count, so you can see at a glance that a job has two bookings and six documents.
| Tab | What's there |
|---|---|
| Tasks | Every task in this project, as a board or a list |
| Bookings | Each booking with its date, time and status |
| Documents | Proposals, invoices, contracts and questionnaires, with status and amount |
| Messages | Email threads, with unread ones in bold |
| Galleries | The project's galleries |
Every tab except Tasks has Add existing and a button to start something new. Choose a row to open the booking, document, thread or gallery itself.
Tasks inside a project
The Tasks tab works like the main Tasks page, narrowed to this project. It has its own Up next and Done tabs, and New task fills in the project for you. You can filter, switch between a board and a list, group by due date or one of your fields, and catch up on late tasks with the red overdue count. See Tracking tasks on a board or list.
The same tasks also appear on the main Tasks page and in your saved views, so nothing gets missed. A task can move to another project, or to no project, without losing anything. See How tasks work and Creating a task.
Frequently asked questions
Can my client see my project notes?
No. Notes, like the rest of the project, are only for you.
Why doesn't Invoiced match the proposal total?
The money cards only count invoices in the project. A proposal's price shows up once it's invoiced and that invoice is in the project.
Why is an invoice missing from the money cards?
Either it's still a draft, it was cancelled, or it isn't in this project. Check the Documents tab, and add it with Add existing if it's not there.
Can I still use the page after archiving?
Yes. Everything stays readable and you can still edit notes. To add records, people or tasks, or change the stage, restore the project first.
