What comes along with a booking or proposal
When you add a booking or proposal to a project, its paperwork comes with it, so one click files the whole job. Removing it takes that paperwork back out. Nothing is ever deleted either way.
What joins with each
| You add | These come along |
|---|---|
| A booking | The invoices, contracts and questionnaires it came with, and the email threads about them |
| A proposal | The booking it became, the proposal's invoice, contract and questionnaire, everything on that booking, and the email threads about all of it |
The note that pops up tells you how many came along, for example "Added this booking and 4 attached records to Ellis and Morgan wedding."
It only runs downhill
Paperwork follows its booking or proposal, never the other way round.
- Adding a booking doesn't add the proposal it came from. Add the proposal instead and you get both.
- Adding an invoice, contract or questionnaire adds just that one. Its booking stays where it is.
- Galleries and tasks never come along. Add galleries yourself, and give tasks a project from the task.
If you're filing a wedding that started as a proposal, add the proposal. That's the one click that gets everything.
Records already in another project stay put
If one of the booking's invoices is already in a different project, it stays there. Everything else joins, and the note says how many stayed behind and where, like "1 stays in Okafor family 2027."
What a booking or proposal creates joins too
Once a booking or proposal is in a project, what it creates later lands there as well:
- The booking, contract and invoice created when your client accepts a proposal that's in a project.
- Questionnaires a booking's service sends for it, like a follow-up a week before the session.
This still happens when the project is archived, because the work belongs to the same job.
Paperwork you add later
A booking or proposal only holds what it created. An invoice, contract or questionnaire you make afterwards belongs to your client, so it doesn't join the project by itself. Pick the project in the form's Project field, start it from the project's Documents tab with New, or add it afterwards with Add to project. On a new contract, choosing a booking in the Booking field fills in that booking's project, and you can change it before saving. See Adding records to a project.
Inquiries
Inquiries never join a project. You can add a questionnaire you sent from an inquiry on its own, and it stays with the inquiry after you book it, so it never comes along with the booking. Add it to the job's project yourself if you want it there.
A proposal you sent from the inquiry works like any other: add it and its booking, contract and invoice come too. See Turning an inquiry into a booking.
Removing a booking or proposal
Removing a booking or proposal also removes its paperwork from that project. The confirmation tells you how many records will go with it before you agree.
Anything that sits in a different project isn't touched. Each record stays exactly as it was, just outside the project. See Adding records to a project.
Frequently asked questions
Why did more records join than I expected?
The booking or proposal brought its paperwork and the email threads about it. To take one back out, open it and choose Remove from project. It won't affect the others.
I added a booking but its proposal isn't in the project. Why?
Paperwork follows a booking, but a booking doesn't pull in the proposal it came from. Open the proposal and add it too.
Does a gallery follow its booking into a project?
No. Galleries are added on their own, from the gallery editor or the project's Galleries tab.
If I remove a booking, do its invoices get cancelled?
No. Removing only takes records out of the project. The invoices keep their status, amounts and payments.
