Reminding clients about unanswered documents
Set automatic reminders for unsigned contracts, unaccepted proposals and unanswered questionnaires. CoreHue follows the schedule you choose and stops reminders once the document is completed or closed.
Automatic and manual reminders are included on the Plus and Pro plans. See CoreHue plans.
Turn on document reminders
- Go to Settings → Reminders and find Document reminders.
- Turn on Proposals, Contracts or Questionnaires. Each has its own switch and schedule, so you can chase contracts harder than questionnaires.
- Under After sending, tick when to send: 3, 7, 14, 21 or 30 days after the document went out.
- Under Before expiry (proposals and contracts) or Before close date (questionnaires), tick 7, 3 or 1 day before.
- Save.
The second column only works on documents that have an expiry or close date, and the page says so under each one. With no date set, only the after-sending reminders run.
For booking and invoice reminders on the same page, see Setting up automatic reminders.
Suggested schedules
| Document | A good starting point | Why |
|---|---|---|
| Contracts | 3 and 7 days after sending, 1 day before expiry | Contracts hold up bookings, so chase them properly |
| Proposals | 3 and 7 days after sending, 3 days before expiry | Beyond that, a phone call works better than another email |
| Questionnaires | 7 days after sending, 3 days before the close date | Less urgent, unless you need the answers to prepare |
When reminders go out, and when they stop
Reminders only start once a document has actually been sent. Drafts are never chased, and a reminder whose moment has already passed is skipped rather than sent late.
They stop on their own as soon as your client signs, accepts or submits. Nobody who has signed gets asked to sign. They also stop when the document is canceled, declined, voided or expired, when the contact has no email address, or when you turn that document type off.
Pause reminders for one document
Every sent document has a Reminders control in its header. Open it to Pause chasing for that one document, and Resume whenever you like. Your settings for everything else stay as they are.
Pause when you've already had the conversation another way. If a client told you they're signing on Monday, they don't need an automatic nudge on Sunday.
The control also tells you when the next reminder goes out and who it goes to, or why none will, such as no email on file or every reminder time having passed. The cog jumps to your reminder settings.
Send a reminder yourself
- Open the document and its Reminders control.
- Choose Send reminder.
- Edit the subject and message if you like, or choose Use template to drop in a saved email template.
- Send.
A manual reminder pauses the automatic ones for 48 hours, so your client doesn't get two in a day. If you sent one within the last hour, CoreHue asks Send reminder again? and shows who got the last one and when.
Send reminder only appears when the document can take one. It's hidden on anything signed, answered, canceled or expired, or with no email to send to.
On the Free plan
The Reminders tab is hidden in Settings and reminder controls don't show on documents. Any schedules you set up before are kept but nothing sends. Choosing Send reminder opens the Send reminders upgrade prompt. Upgrade to Plus or Pro and your schedules start working again.
What your client sees
A short, polite email from your business about the document they haven't finished. A contract reminder has a Review and sign contract button, and a questionnaire reminder has a Complete questionnaire button, so they can finish in one tap.
Frequently asked questions
Will a client who has already signed get a reminder?
No. Document reminders stop the moment a contract is signed, a proposal accepted or a questionnaire submitted.
Do reminders work on questionnaires a booking sends automatically?
Yes, on Plus and Pro. Any questionnaire waiting for an answer is chased on your questionnaire reminder schedule, wherever it came from.
Can I change the wording of automatic reminders?
No. Automatic document reminders use CoreHue's standard wording with your business name. When you want to say something specific, use Send reminder and write your own message.
Why didn't a "before expiry" reminder go out?
A "before expiry" reminder only runs on documents with an expiry or close date. Set one on the document and the before-deadline reminders can run, as long as the date isn't too close.
