How questionnaires work
Send a questionnaire to collect details from a client before or after a session. Their answers save in CoreHue, where you can read them from the request or the contact's page.
The Free plan includes 5 questionnaire sends in total. Questionnaires sent automatically by a booking service don't count. Plus and Pro send unlimited questionnaires. See CoreHue plans.
Templates and requests
Two things share the name, and it helps to separate them early.
- A template lives under Templates → Questionnaires. It's a reusable set of questions you build once. See Questionnaire templates.
- A request is what one real client receives. You'll find requests under Documents → Questionnaires. Each one has its own copy of the questions, its own link, its own status and its own expiry.
Editing a template never changes a request that's already out. Nobody should find the questions shifting while they're halfway through answering.
Three ways questionnaires reach your clients
- You send one. Pick a contact, inquiry or booking, add your questions and send. See Sending a questionnaire.
- A booking service asks during booking. Intake questions are part of the booking form, so answers arrive with the booking. See Adding a contract and questionnaire to booking.
- A booking service sends one later, on a schedule. When the booking is confirmed, a set number of days before the session, or after it. See Sending a questionnaire automatically after booking.
That third option is easy to overlook, and it saves the most time. A questionnaire that sends itself two weeks before every wedding is a job you never do again.
Questionnaire or contact form?
They point in opposite directions.
- Questionnaires go out to someone you already know. You chose who gets it and you're waiting on their answers.
- Contact forms come in from people you don't know yet, and create a new contact when submitted.
Asking a booked couple about their timeline is a questionnaire. Letting a stranger ask about your availability from your website is a contact form.
What your client sees
Your client gets an email with a Complete questionnaire button. The form opens on your branded client page, with no sign-in. Their answers save as they go, a progress bar shows how far along they are, and they review everything before choosing Submit answers. See Filling out a questionnaire.
How the Free plan limit works
On Free, a questionnaire counts once, the first time you send it or share its link yourself. Resending the same request doesn't count again, and nothing a booking service sends or asks for counts at all. The count includes your history, so if you sent five or more on a paid plan or trial, you're already at the limit on Free. When you reach it, sending opens Questionnaire limit reached with an option to upgrade.
Reminders for unanswered questionnaires are on Plus and Pro.
Frequently asked questions
Do my clients need an account to fill in a questionnaire?
No. Your client opens the questionnaire link from their email and answers straight away, on any device, without a CoreHue account.
Can I send the same questionnaire to lots of clients?
Yes. Build the questionnaire once as a template under Templates → Questionnaires, then use Start from template each time you send one. Each client gets their own request with their own answers.
Where do I find answers from questionnaires a booking sent?
Answers from questionnaires a booking sent are on the booking itself and on the contact's Questionnaires tab. The Documents → Questionnaires list shows the requests you sent by hand. See Viewing questionnaire answers.
Can I put a questionnaire inside a proposal?
No. New proposals don't carry a questionnaire. Ask what you need during booking, or send a questionnaire once the booking exists.
