Sending a questionnaire

Pick who it's for, add your questions, and send. Your client gets an email with a Complete questionnaire button and can answer on their phone in a few minutes, with every answer saving as they go.

Limited on the Free plan

The Free plan includes 5 questionnaire sends in total. Questionnaires sent by a booking service don't count. Plus and Pro send unlimited questionnaires. See CoreHue plans.

Create and send a questionnaire​

  1. Go to Documents → Questionnaires and choose New questionnaire.
  2. Under Related to, choose Contact, Inquiry or Booking, then pick the record.
  3. Add your questions, or choose Start from template to copy a saved set in.
  4. Optionally set an Expiry date, the last day your client can submit.
  5. Choose Save & send.
  6. Check the email, edit the Subject and Message if you like, and send.

Each request goes to one person. To ask two people the same questions, send it twice.

Save draft keeps the request without sending it. Drafts don't show in the Questionnaires list, which only lists requests that have gone out, so a draft is easy to lose track of.

Personalizing the email​

Use template drops in a saved email template, and the toolbar's Variables menu can greet your client by first name. Your client's email has a Complete questionnaire button that opens the form.

Open the request and choose Share to copy its link. Send it wherever your client actually replies: a text, WhatsApp, or your own email.

Sharing a request that hasn't been sent yet asks Mark as sent? first, because once the link is out, the request is live.

Set or change the close date​

Open the request and choose Set expiry, or Edit expiry if it already has one. After that date, your client can't submit and the request reads Expired.

A close date helps you as much as your client. A questionnaire with no end tends to sit open forever, and it's also what lets "before close date" reminders work.

Resending​

Resend questionnaire sends the same request again with the same link. Use it when your client can't find the first email. Resending never counts towards the Free plan limit.

What your client sees​

The questionnaire opens on your branded client page with your logo, title and description. No sign-in.

  • Answers save as they go. A small marker reads Saving, then Saved. Your client can start on their phone, get interrupted, and come back later without losing anything.
  • A progress bar shows how much they've answered. Conditional questions appear as their answers make them relevant.
  • Review answers shows everything they've entered, with Back to edit if they want to change something and Submit answers to send it.

Once submitted, they see "Thank you, your answers have been submitted" with a read-back of their answers. See Filling out a questionnaire.

After your client submits​

Answers can't be changed once submitted, by your client or by you. If something needs correcting, send a fresh request, or just ask. A quick message is often faster than a second form. See Viewing questionnaire answers.

Editing a questionnaire that's out​

You can still change the questions on a sent request with Edit, until it's answered or its close date passes. If your client is partway through, they'll see a note that the questionnaire was updated, and their answers to the questions you didn't change are kept. Where you can, edit between sends rather than during one.

Cancelling a request​

Choose Cancel request from the request's menu to stop one you sent by mistake or no longer need. Your client can't submit it, and their page says you no longer need their answers.

Frequently asked questions​

Yes. On the Free plan, a questionnaire counts toward the 5-questionnaire limit the first time it's sent or shared. Resending or sharing it again doesn't count twice.

Can my client save and come back later?​

Yes. Questionnaire answers save automatically as your client types, so they can close the page and pick up where they left off from the same link.

Can I reopen a questionnaire after my client submits?​

No. Submitted questionnaire answers are final. Send a new request if you need more, or ask the follow-up directly.

If the page says "This questionnaire is closed", the close date passed before they submitted. If it says "This questionnaire was withdrawn", the request was canceled. In both cases, send a new request. If the link opens nothing at all, choose Share and send the link again.
