Creating a task
A task needs only a title. Type it, press Enter, and it's on your board. Add a due date, labels or a project when they help you find it later or get reminded on time.
Adding a task
- Go to Projects → Tasks.
- Choose New task.
- Type a title, like "Send sneak peeks to Amara and Tolu".
- Set anything else you need from the row of buttons under the description.
- Choose Create task, or press Enter.
A note confirms it, with Open if you want to go straight to the task.
Quicker ways in
- Hover Tasks in the sidebar and choose the + beside it, from any page.
- Choose the + at the top of a board column or list section to start the task in that group. In a status column it starts in that status, in a project's section it's filed in that project, and in Today it's due today.
- In a list, choose Add a task at the foot of a section, type a title and press Enter. The row stays open for the next one, so you can type a whole wedding's to-dos in a minute. Press Esc or choose Cancel when you're done.
When you group by due date, Overdue, Later and Earlier have no + or Add a task, because each covers many days. Add the task under Today, Next 7 days or No date, or give it a date in the New task window.
- On a saved view or a project's Tasks tab, New task picks up what fits. A view filtered to the Editing label starts new tasks with that label, and a project's tab files them in that project.
If the task won't match the view you're on, a note says so before you create it.
What you can set
| Button | What it's for |
|---|---|
| Status | Where the task starts. New tasks start in To do unless you change your default |
| Priority | Urgent, High, Normal or Low, or none |
| Project | Files the task with a client's job. New project at the bottom of the list starts one |
| Contacts | The people the task is about, up to 20 |
| Labels | Tags like Editing or Delivery. Type a new name to create one on the spot |
| Your fields | One button per field, like Deliverable. See Adding fields to your tasks |
| Due date | Today, Tomorrow or Next week in one click, or any day on the calendar, with Add time if the hour matters |
A task with only a date is due all day and turns overdue once that day is over. Add a time for things like a call or a print lab cut-off, and it's overdue the moment that time passes. Dates and times follow the time zone set in Your profile settings.
Once a task has a due date, Default reminders appears beside it. Leave it and the task follows your usual reminders, or change them for this task alone. See Setting up task reminders.
Editing a task
Click a task's title on any board or list to open its page. Change the title or description and it saves when you click away. Everything in the panel on the right, from Status to your fields, saves as soon as you pick something. Add field at the bottom of the panel starts a new field for all your tasks, while you have fewer than five.
Each task has one page, wherever you open it from. Change it there and it changes on every board, view and project it shows on.
For a quick change without opening it, use the three dots on a card to set Status or Priority, or click the date on a card to move it. A note confirms the new date, with Undo. Moving tasks between statuses is covered in Tracking tasks on a board or list.
Linking contacts
Add a contact under Contacts when a task is about someone, like "Call Mrs Okafor about the album". Their initials show on the card, and the task page lists them by name. For everything about one client's job in one place, file the task in their project as well.
Deleting a task
- Open the task.
- Choose the three dots at the top of the page, then Delete.
- Confirm with Delete.
Deleting can't be undone. If the task just isn't happening any more, move it to Cancelled instead, so you keep a record.
Frequently asked questions
Can I see all of a contact's tasks on their contact page?
No. Contacts on a task show on the card and the task page only. To keep a client's tasks together, add them to the client's project.
Can I make a task repeat?
No. Each task happens once. For regular jobs like monthly backups, create the next one when you finish the last.
Can I move a task to a different project?
Yes. Open the task and choose another project under Project, or pick No project. Its status, dates, labels and checklist stay as they are.
