Saving task views
A view is a saved way of looking at your tasks: the filters, the layout, the grouping and the order, one click away in the sidebar. It doesn't copy anything. The same tasks show in every view they match, so an edit made in one shows everywhere.
Every account starts with Due this week, a board of unfinished tasks due between Monday and Sunday. Change it or delete it like any other view.
Creating a view
- Go to Projects → Tasks.
- Choose New view, beside the tabs.
- Give it a Name.
- Pick a Layout, what to Group by and how to Sort by.
- Under Filters, choose which tasks belong in it.
- Choose Create view.
The view opens, and it's listed under Views in the sidebar from then on. On a computer, you can also hover Views in the sidebar and choose the +.
Group by offers Due date, Status, Project, each of your fields by name, and No grouping for a list. New views start grouped by Status.
Already filtered the Tasks page the way you like? Choose Save as view beside the filter chips and those filters come with you into the new view, along with the layout, grouping and ordering you had.
Due date options
Views offer more date choices than the quick filter: Overdue, Today, This week, Before a date, After a date, Between dates and No due date. Dates you pick here stay fixed, so a view for "everything due before the wedding season" keeps that same cut-off until you edit it.
Outcome and label options
Outcome filters by what a status counts as: Unfinished, Completed or Cancelled. It keeps up when you add statuses, so a view set to Unfinished picks up a new Proofing status without an edit. See Setting up statuses, labels and priorities.
Labels shows tasks with any of the labels you pick. Once you've picked one, switch Any of to All of to need every label, or None of to leave those tasks out. Add No labels to include tasks without a label too.
Field options
Each of your fields has its own filter, like Deliverable, reading Any deliverable until you pick. Tick one or more options, or the "No" choice to find tasks still missing a value. Save a field filter in a view when you'll want it again. See Adding fields to your tasks.
Views worth setting up
| View | Filters | Layout, grouping and order |
|---|---|---|
| Editing queue | Labels: Editing. Status: To do, In progress | List, by Status, Due date |
| Waiting on clients | Status: Waiting | List, by Project, Due date |
| Today | Due date: Today | List, by Status, Custom order |
| Studio admin | Project: No project | Board, by Status, Priority |
| Wedding prep | Labels: a Prep label you create | Board, by Project, Due date |
| Edit pipeline | Labels: Editing | Board, by an Editing stage field, Due date |
New tasks you add from a view pick up what it's filtered to where they can. Add a task from your Editing queue and it gets the Editing label. Add one from Today and it's due today.
Using a view
A view's own filters show as chips at the top, with Edit beside them. You can filter further with Filter while you're there, which narrows what you see without changing the view.
Changing the layout, grouping or ordering under Display doesn't edit the view either. The view reopens that way on this device until you choose Reset, which takes it back to what you saved. To change it for good, choose Edit.
Each view keeps its own Custom order, so dragging cards in one view doesn't move them anywhere else. See Sorting, filtering and searching tasks.
Changing, copying or deleting a view
Open the view and choose the three dots beside New task:
- Edit changes the name, layout, grouping, order or filters. Choose Save view when you're done.
- Duplicate makes a copy called "Copy of" the original, ready to tweak.
- Delete removes the view. Your tasks aren't touched.
If you delete a field that a view uses, the view stops filtering on it, and a view grouped by it goes back to grouping by Status.
Frequently asked questions
Can I pin only some views to the sidebar?
No. Every view you save is listed under Views in the sidebar, in the order you created them. Delete the ones you no longer use to keep the list short.
How many views can I have?
Up to 50, which is far more than most studios need. Three or four well-chosen views usually cover a whole week.
Why does Due this week show Outcome Unfinished?
Its Outcome filter is set to Unfinished, so it shows tasks in any status that counts as unfinished, and they drop off as soon as you complete or cancel them. To keep finished tasks in it too, choose Edit and add Completed to Outcome, or clear that filter.
