Sorting, filtering and searching tasks

Up next starts in Custom order, which is the order you drag cards into. Switch to due date or priority when you'd rather CoreHue decide, and filter down to the handful you need right now.

Arranging tasks yourself

In Custom order, drag a card up or down its column to put it where you want it. Most photographers keep the next thing to do at the top. Custom order works when your tasks are grouped by Status. Group by anything else and they're ordered by due date: Display shows Due date as the ordering, with Custom order greyed out and the note "Custom order applies when grouped by status."

The order belongs to the place you set it:

  • The Tasks page keeps one order.
  • Each saved view keeps its own.
  • Each project's Tasks tab keeps its own.

So your "Editing queue" view can run in delivery order while the project for one wedding runs in the order you'll do its jobs. New tasks join the bottom of their column.

Sorting

  1. Choose Display (the sliders icon).
  2. Pick an option under Ordering.
OrderingHow tasks line up
Custom orderThe order you've dragged them into
Due dateSoonest first. Tasks with no date go last
PriorityUrgent first, then by due date within each level
Newest firstMost recently created first
Oldest firstEarliest created first

While you sort by anything other than Custom order, you can't drag a card up or down, but you can still drag it to another column. The same menu sets Group by, covered in Tracking tasks on a board or list.

Your layout is remembered

Each place remembers its layout, grouping and ordering on the device you set them on. Switch Up next to a list grouped by due date on your laptop, and it opens that way there next time, while your phone keeps its own setup. Done, each saved view and each project's tabs remember theirs separately.

A dot on Display means the place isn't on its usual setup. Choose Reset to go back. Filters don't stick the same way, so to keep filters for good, save them as a view.

Filtering

  1. Choose Filter (the funnel icon).
  2. Open Status, Priority, Labels, Due date or Project.
  3. Tick what you want to see.

The red overdue count in the toolbar is a shortcut for Overdue under Due date. Each filter you add shows as a chip above the board, naming the filter and what you picked. Choose the × on a chip to remove it, or Clear to remove them all. A number on Filter shows how many you're using.

Ticking several options under one heading shows tasks that match any of them, so Editing and Album under Labels shows both. Filters under different headings narrow each other, so adding This week under Due date keeps only the editing and album tasks due this week.

To find tasks that have all of the labels you pick, or none of them, save a view and switch its Labels filter from Any of to All of or None of. Each of your fields also has its own heading in Filter, with its options and a "No" choice, like No deliverable. See Adding fields to your tasks.

Some useful ones:

  • No due date under Due date, to find ideas you never scheduled.
  • No project under Project, to see studio admin on its own.
  • No labels under Labels, to catch tasks you forgot to tag.

This week runs Monday to Sunday, in the time zone set in Your profile settings.

If you'll want the same filters again, choose Save as view beside the chips. See Saving task views.

Searching

Type in Search tasks at the top of the page. It looks in task titles and descriptions, and works together with any filters you've set. Search is on Tasks and your saved views.

Frequently asked questions

Can I search for a client's name to find their tasks?

Only if their name is in the task's title or description. Search doesn't look at contacts or projects. To see one job's tasks, open its project's Tasks tab, or filter by Project.

Why does my custom order look different on a saved view?

Each view keeps its own order, so arranging cards there doesn't change Up next, and arranging Up next doesn't change the view.

Can I sort by more than one thing?

Priority already sorts by due date within each level, which covers most needs. You can also group by one thing and sort by another, like grouping by project and sorting by priority. Otherwise it's one ordering at a time.

Why does my Tasks page look different on my phone?

Layout, grouping and ordering are remembered on each device separately. Set them the way you like on each one, or choose Reset under Display to go back to the usual board.
