Setting up statuses, labels and priorities
Statuses are the columns your tasks move through, labels are tags for the kind of work, and priorities flag what matters most. Statuses and labels are yours to shape in Projects → Settings, each on its own tab.
A simple rule keeps things tidy: statuses say where a task is, labels say what it's about. "Waiting" is a status. "Album" is a label.
Statuses
You start with To do, In progress, Waiting, Done and Cancelled. Each row shows how many tasks use it.
Adding or changing a status
- Go to Projects → Settings and open the Statuses tab.
- Choose New status.
- Enter a Name and pick a Color.
- Choose Create.
Click any status to rename or recolor it. Drag the handle on the left to change the order, which is the order of the columns on every board. You can have up to 20.
You can also add a status on the spot from any status menu, on a card or in a task, by choosing New status at the bottom.
What a status counts as
Every status counts as Unfinished, Completed or Cancelled. That's what decides whether its tasks show on Up next or Done, and whether they can go overdue. New statuses count as Unfinished. A saved view can filter on this too, with Outcome, so it keeps up when you add statuses. See Saving task views.
To change it:
- Choose the three dots beside the status.
- Choose Change outcome.
- Pick what it Counts as.
- Check how many tasks it affects, then choose Apply.
Renaming a status never changes what it counts as, so turning Done into "Delivered" is safe.
The default status
The status marked Default is where new tasks start, and where a task goes when you reopen it. To change it, choose the three dots beside an unfinished status, then Make default. The default always has to count as unfinished.
Complete on a task sends it to your first completed status in the list, so keep the one you use most at the top of the completed ones.
Deleting a status
Choose the three dots, then Delete. CoreHue won't delete a status that's your default, that tasks are still in, or that a saved view filters on. Move its tasks to another status, or edit the view, first.
Labels
You start with Editing, Delivery, Prints, Album and Follow-up. A task can carry up to 20, and you can have up to 100 in all. Manage them on the Labels tab of Projects → Settings.
- Choose New label to add one, or create it from any task's Labels menu by typing a new name.
- Click a label to rename or recolor it. The new name shows on every task straight away.
- Deleting a label takes it off every task it was on. If a saved view filters on it, edit the view first.
Most photographers add a few for the rest of the business, like Admin, Gear and Marketing, and maybe one for a busy season, like Mini sessions.
When something needs exactly one answer per task, like which deliverable it's for, a field fits better than a label. See Adding fields to your tasks.
Priorities
Priorities are fixed at four levels: Urgent, High, Normal and Low, or none. They show as small signal bars on each card: one bar for Low, two for Normal and three for High. Urgent is a red square with an exclamation mark, and no priority shows as three short dashes. Urgent shows in red.
Use them sparingly. If half your board is urgent, nothing is. Sort by Priority to bring the most important work to the top, see Sorting, filtering and searching tasks.
Frequently asked questions
Do my status changes apply to projects too?
Yes. You have one set of statuses, used on the Tasks page, every saved view and every project's Tasks tab. Project stages are separate, see How projects work.
Can I rename or add priority levels?
No. The four levels are fixed so they sort the same way everywhere. Use labels or a field for anything else you want to track.
Can two labels have the same name?
No. Each label name can only be used once, so you won't end up with two "Editing" labels splitting your tasks.
