Tracking tasks on a board or list

Up next opens as a board with a column for each unfinished status, and moving a card from one column to the next is how you show progress. Tick a task off when it's finished and it moves to Done.

Up next and Done

TabWhat it showsHow it opens
Up nextEvery task that isn't finished, dated or not. This is your working boardA board grouped by status, in Custom order
DoneEverything completed or cancelledA list, newest first

On Done, finished tasks show faded and cancelled ones crossed out.

Board or list

Choose Display (the sliders icon, beside the filter) and pick Board or List.

  • Board shows each group as a column. It's the best way to see what's moving and what's stuck.
  • List shows the same groups as sections, one under the other. It's quicker to scan on a busy week or a small screen, and most sections end with Add a task for quick entry. Grouped by due date, Overdue, Later and Earlier don't, since no single date puts a task there.

Each card shows what you've set, like priority, due date, checklist progress, contacts, fields, project and labels.

Grouping your tasks

  1. Choose Display.
  2. Pick an option under Group by.
Group byColumns or sections
StatusOne per status, in the order from your settings. Up next shows only unfinished ones
Due dateOverdue, Today, Next 7 days, Later, No date, and Earlier for finished tasks whose date has passed
ProjectOne per project with tasks here, A to Z, then No project
A fieldOne per option, then one for tasks without a value. See Adding fields to your tasks
No groupingOne plain list, on List only

Overdue, Today and Next 7 days stay on screen even when they're empty, so you can see at a glance that nothing's late. Next 7 days runs from tomorrow to a week from today.

Each place keeps its own setup. Up next, Done, every saved view and every project's tabs reopen the way you left them on this device. See Sorting, filtering and searching tasks.

Moving a task

Drag a card to another column or section. On a phone, press and hold the card first, then drag. What changes depends on how you've grouped:

  • Status: the task takes that status.
  • Project: it moves to that project, or out of any project with No project.
  • A field: it takes that option.
  • Due date: Today makes it due today, Next 7 days makes it due tomorrow, and No date clears the date. Overdue, Later and Earlier don't take a drop, so pick a date on the task instead.

You can also change status without dragging. Choose the three dots on a card, then Status, and pick one. On the task's own page, use Status on the right.

What each status means

You start with five. Each one counts as unfinished, completed or cancelled, which decides whether a task sits on Up next or Done, and whether it can be overdue.

StatusCounts asUse it for
To doUnfinishedThings you haven't started. New tasks land here
In progressUnfinishedWhat you're working on now, like an edit you're halfway through
WaitingUnfinishedWork that's with someone else, like album proofs out with your client
DoneCompletedFinished
CancelledCancelledNot happening, but worth keeping a record of

Waiting tasks can still go overdue, so if a client sits on proofs past the date you set, you'll hear about it.

To rename these, add your own, or change what one counts as, see Setting up statuses, labels and priorities.

Catching up on late tasks

Overdue isn't a status. A late task keeps its own status, like Waiting, and its date turns red. While anything is late, a red count like 3 overdue sits in the toolbar on Up next.

To move them all at once:

  1. Choose the red count. Only late tasks show, with a Due chip reading Overdue.
  2. Choose Reschedule all beside the chip.
  3. Pick Today, Tomorrow or Next week.

A note says how many tasks moved, with Undo if you change your mind. Up to 200 move at a time, and if there are more, the note tells you how many are still overdue. Reschedule all shows while the overdue filter is the only one on and the search is empty. On a board grouped by due date, it's also at the top of the Overdue column. Choose the red count again to see everything.

For one task, point at a late card and choose Today, Tomorrow or Next week under it. On a phone they're always showing, under the title on list rows and on board cards. Or click the date on any card to open the date picker, which has the same three choices above the calendar. Each move shows a note with Undo.

A task with a time keeps it if that time is still ahead on the new day. Otherwise it becomes due all day, so nothing you move to today is late the moment it lands.

Completing a task

Click the circle at the left of a card or row. The task moves to Done, and a note appears with Undo in case you clicked the wrong one. On a task's page, choose Complete.

To bring a task back, find it on Done and click its circle again, or choose Reopen on its page. It returns to To do, or whichever status you've made your default.

Inside a project

A project's Tasks tab works the same way, with its own Up next and Done tabs, grouping (by anything except project), red overdue count and Reschedule all, for that project's tasks only. New tasks you add there are filed in the project. See How projects work.

Frequently asked questions

Why did a task disappear when I marked it done?

It moved to the Done tab, since Up next only shows unfinished work. Use Undo straight away, or open Done to find it.

Why can't I drag a card up or down in its column?

You can only arrange cards by hand when the board is grouped by Status with Custom order as the ordering. Otherwise CoreHue keeps the order for you, and you can still drag a card to another column. See Sorting, filtering and searching tasks.

Does moving a task to Done tell my client anything?

No. Tasks are private to you, and changing a status never emails anyone.

When exactly does a task become overdue?

A task with only a date becomes overdue when that day ends. One with a time becomes overdue at that time. Both use the time zone set in Your profile settings.
